AI and automation for landscaping & lawn care businesses

Practical ways to save time, capture more enquiries, and use the tools you already have.

Lawn care margin lives in the minutes between jobs, which makes this a route-density business: the most valuable new client is the one next door to an existing one. Everything below is built around that, plus the two rhythms that run the year — rain days that reshuffle the entire book at once, and a spring surge the winter diary can pre-sell.

Written for an owner who has never set up a single one of these things. Start at step one, which is free and takes an afternoon, and stop whenever you have had enough — nothing further down is needed for anything above it to work.

The whole page, in order

Week 1 · free$0

Set every regular client up as a recurring job, and move as many as will agree onto a fixed monthly price — smoother cash for you, no bill-shock fortnights for them.

Software: Jobber or ServiceM8 recurring jobs

Cost note: Included if recurring work is in your current plan

Week 2$0

Switch on reschedule notifications and practise the rain-day drill: bulk-move the day's visits with every client told automatically.

Software: Jobber or ServiceM8 reschedule notifications

Cost note: Included if notifications are in your current plan

Week 3$0

Start the spotted-project habit: every crew photographs one upgrade opportunity per day with a one-line note, and it becomes a drafted quote by morning.

Software: Jobber or ServiceM8 job photos and quote templates

Cost note: No additional software if your current plan includes photos

Week 4 · measure$0

Watch three numbers: clients per street on your best routes, projects quoted from maintenance visits, and fixed-monthly conversions. Only then decide whether anything needs building.

Software: Jobber or ServiceM8 reports

Cost note: No additional software

Step one · start here

What your current landscaping & lawn care software may already include

If you already use Jobber, these features are settings inside those products, not another subscription. Your current plan still needs to include the feature. If you use something else, skip that card and search your software’s help centre for the named feature before you buy anything.

Task 1

JobberRecurring jobs with per-visit or fixed-monthly invoicing

saves ≈8 hrs/mo

Why it matters

The round engine, documented with monthly lawn mowing as the example: repeating visits, invoiced per visit or at a set monthly price regardless of visit count — the pricing model that smooths seasonal cash flow, already in your plan.

What to do

Open the official guide below. In Jobber, find “Recurring jobs with per-visit or fixed-monthly invoicing”. Follow the guide once, switch it on for one real job or customer first, and check that it did exactly what you expected before using it everywhere.

Open the official setup guide

Task 2

JobberCreate New Visits — bulk scheduling for weather-driven work

saves ≈6 hrs/mo

Why it matters

Documented as the snow-removal workflow and explicitly recommended for irrigation startups and seasonal maintenance: recurring jobs set to 'as needed', then visits generated in bulk across the book by tag, area or client criteria when the weather or the season says go.

What to do

Open the official guide below. In Jobber, find “Create New Visits — bulk scheduling for weather-driven work”. Follow the guide once, switch it on for one real job or customer first, and check that it did exactly what you expected before using it everywhere.

Task 3

JobberReschedule notifications

saves ≈5 hrs/mo

Why it matters

Every moved visit prompts an automatic text or email from your template — so a rain day is a professional notification to forty clients, not forty phone calls or forty surprises.

What to do

Open the official guide below. In Jobber, find “Reschedule notifications”. Follow the guide once, switch it on for one real job or customer first, and check that it did exactly what you expected before using it everywhere.

Open the official setup guide

1 hour · $0 extra if included in your current plan

If your software is not named above, the equivalent switch often still exists. Search its help centre for the exact feature name before you buy another tool.

Step two · first workflow to implement

Jobber or ServiceM8 recurring jobs: Sell the season, not the visit.

A fixed monthly price for the year's care — mowing on growth, cleanups in season — converts a per-cut shopper into an annuity client who doesn't cancel over a slow fortnight, and the invoicing mode for it is already in your software.

Do this in order

  1. 1. In Jobber or ServiceM8, create one recurring-job template for each real service frequency you sell: weekly, fortnightly, monthly, and seasonal.
  2. 2. Load each current regular client with the correct start date, visit length, crew, and seasonal pauses; do not copy one schedule across everybody.
  3. 3. Offer a fixed monthly invoice where the client agrees, and write exactly which visits that monthly price includes.
  4. 4. Preview the next eight weeks and the next invoice for one test client. Fix duplicate visits or wrong billing dates before loading the rest of the round.

Route: Already paid for

How you know it worked

Count it in week one, then count the same thing again in week four. If the number did not move, stop spending.

Do not want to set it up yourself?

In Speed to Lead. Or take the Diagnostic before hiring anyone.

Step three · keep going without adding complexity

Once step two works, take the next three jobs in this order.

Do not start all three at once. Finish one, test it on real work, then move to the next card.

A template and your route list≈20 letterboxes per client

Letterbox the streets you already mow

A drop to the twenty houses around each existing client — 'we're at number 14 every second Tuesday' — is the cheapest acquisition in the trade, because the drive time is already paid for and the proof is visible from their window.

1 day · We do it · $690

Make.com + job software≈8 spotted/mo

Quote the project you're standing next to

The tired bed, the dead hedge, the broken irrigation — your crew sees it every visit and it evaporates in the trailer. A photo and a one-line note becomes a drafted quote by next morning, sold to a client who already trusts you.

1 week · We do it · $1,900

Jobber bulk visits + templates≈40 dormant clients

Pre-sell spring to the winter list

Every dormant or paused client gets one message in late winter: cleanup, first cut and mulch, booked now at a locked price. One bulk visit-generation fills September before the phone starts ringing.

Half a day · In Speed to Lead

Step four · only once the first three are running

These are useful, but they are not the place to begin.

This is the first point where a real build may be worth paying for. The earlier steps need to be working before you add it.

Job software templates + photos≈3x more reviews

Ask for the review with the after photo

A striped lawn or a finished bed sells itself — one message at job's end with the photo and the review link, while the result is still theirs to show off.

What this page is automating

What “AI” actually means here.

Almost everything above is a computer sending a message at a moment when nobody was going to send one. That is it. No robot and no replacement for professional judgement.

If you already use one of the products named in step one, those cards are settings inside that product. If you do not, skip the card. This page is not claiming that you already own it.

It is

A message going out because a call, date or status changed.

It is not

Something that decides what to charge or replaces professional judgement.

It is

A reminder sent from records your business already keeps.

It is not

A replacement for you, your trade, or the people who know the work.

Does this look familiar?

These are the problems the named tools above are meant to remove.

After thirty days

Four numbers. If they have not moved, stop and do not spend another dollar.

Number one

Sell the season, not the visit

Write down the current monthly number before you switch anything on. Compare it with the same number after thirty days.

Number two

Letterbox the streets you already mow

Count it the same way in week one and week four. Do not change the definition halfway through.

Number three

Recurring jobs with per-visit or fixed-monthly invoicing

Use the history inside your existing software to count how often the automation actually ran.

Number four

Hours given back

Ask the person doing the work now. They will know before a dashboard does.

Every figure on this page is a typical size, not a measurement of yours. These four are the numbers that are actually about your business.

Nothing here is urgent and nothing here is a starting point. It is the complete set for this business, in rough order of what it returns, with the tool, effort, and done-for-you route on every row.

Job managementJobberRecurring rounds, bulk weather scheduling, client notifications and per-visit invoicing — lawn care is one of its native verticals.$29/moThe best-documented fit in this trade — the workflows above are all first-party features. Some automations are plan-gated, so check your tier before assuming you have them.
Job managementServiceM8The flat-priced alternative with recurring jobs and checklists, listing lawn care among its industries.$29–79/mo flatFlat pricing wins for bigger crews, but its bulk weather-rescheduling story is weaker than Jobber's — and it's iOS-first, which matters for casual crews on mixed phones.
Phone & messagingOpenPhoneA business number with shared inbox so quotes and reschedules stop living on the owner's mobile.$19/userWorth it once anyone besides you answers the phone. Skip if your job software's two-way SMS already covers it.
AccountingXeroThe books, and reminders for commercial grounds contracts on terms.$35/moYou almost certainly have this already. Reminders free, off by default, twenty minutes in settings.
AutomationMake.comThe spotted-project pipeline and dormant-list sequences around the job software.$9/moOne scenario — photo plus note becomes drafted quote — carries most of the value here. Keep it few and boring.
Job documentationCompanyCamBefore/after photo trails on landscaping projects, organised per job.$29/moEarns its keep on construction-side landscaping where progress photos settle disputes and sell the next project. Pure mowing rounds don't need it — job-software photos suffice.
AI answeringRosieAnswering overflow calls and capturing quote requests in the spring surge.$49/moUseful for the September phone spike; let it quote only published mowing rates and never a landscaping project — those need eyes on the site.
AssistantChatGPT TeamScope, policy and pricing questions from your own documents.$25/userLoaded with your inclusions and bands it ends the 'is edging included' debate. It doesn't design gardens and it doesn't price projects.

Do not bother

Three things not to buy yet.

Buying leads outside your routes.

A lead marketplace sells you a lawn twenty minutes from your nearest job — which, in a density business, can be worth less than nothing after drive time. The letterbox drop on streets you already service beats it on both cost and margin.

AI garden-design renders as quotes.

A generated picture of a garden is not a buildable, priced scope — soil, drainage, access and plant availability decide the real number. Render for inspiration if you like, but the quote comes from a site walk, or you'll build the gap between the picture and the price at your own cost.

Drone or satellite lawn-analysis tools for residential rounds.

NDVI imagery earns its keep on golf courses and broadacre turf, not quarter-acre backyards your crew walks weekly. Their eyes are the sensor, and the photo-plus-note habit captures what they see for free.
