How salons can use AI

Practical ways to save time, capture more enquiries, and use the tools you already have.

A salon runs on a biological clock — colour regrows in six weeks, nails in three — so the number that decides your year is how many clients leave with their next appointment already booked. The platform you already use has the deposits, reminders and win-back machinery built in; the craft is switching it on, and keeping your regulars booking through your own link instead of the marketplace's.

Written for an owner who has never set up a single one of these things. Start at step one, which is free and takes an afternoon, and stop whenever you have had enough — nothing further down is needed for anything above it to work.

Week 2$0

Make rebook-at-the-basin the house rule: the next appointment offered at checkout, every client, every time. Track the rate per stylist.

Software: Fresha, Timely, or Square Appointments at checkout

Cost note: No additional software; this is a staff checkout rule

Week 3$0

Run the first lapsed-list message: every colour client past ten weeks gets one warm text with your own booking link.

Software: Fresha campaigns and client filters

Cost note: Included only where your current Fresha plan supports campaigns

Week 4 · measure$0

Watch four numbers: rebooking rate per stylist, no-show rate on protected versus unprotected bookings, lapsed clients recovered, and share of bookings through your own link. Only then decide whether anything needs building.

Task 1

FreshaNo-show protection — deposits, cancellation fees, card-on-file

saves protects the day's margin

Why it matters

Upfront deposits and enforceable cancellation fees on stored cards, included at no extra platform charge — the protection for the three-hour colour that a no-show would otherwise vaporise. Requires Fresha's payments to be enabled, and off until you set the policy.

What to do

Open the official guide below. In Fresha, find “No-show protection — deposits, cancellation fees, card-on-file”. Follow the guide once, switch it on for one real job or customer first, and check that it did exactly what you expected before using it everywhere.

Task 2

FreshaAutomated reminders with a free monthly quota

saves ≈4 hrs/mo

Why it matters

Appointment reminders by text with an included monthly allowance before pay-as-you-go rates — the no-show reducer most salons half-configure and then buy again from an SMS platform.

What to do

Open the official guide below. In Fresha, find “Automated reminders with a free monthly quota”. Follow the guide once, switch it on for one real job or customer first, and check that it did exactly what you expected before using it everywhere.

Task 3

FreshaAutomated client messages and campaigns

saves ≈4 hrs/mo

Why it matters

Review requests, win-back offers and rebooking nudges from the platform's own messaging — the retention machinery sitting next to the calendar you already live in.

What to do

Open the official guide below. In Fresha, find “Automated client messages and campaigns”. Follow the guide once, switch it on for one real job or customer first, and check that it did exactly what you expected before using it everywhere.

If your software is not named above, the equivalent switch often still exists. Search its help centre for the exact feature name before you buy another tool.

Step two · first workflow to implement

Fresha, Timely, or Square Appointments at checkout: Rebook at the basin, every client, every time.

The six-week colour cycle means the next appointment already exists — the only question is whether it's booked in your chair or a competitor's. Offered at checkout with the date on screen, rebooking converts at rates no reminder campaign will ever touch.

Do this in order

  1. 1. Open the client’s next suitable date in Fresha, Timely, or Square Appointments before they leave the chair.
  2. 2. At checkout, offer that date out loud and show it on screen; if they decline, record the reason instead of writing a private note.
  3. 3. Give each stylist one target: the percentage of eligible clients who leave with the next appointment booked.
  4. 4. Test the routine for one week and compare the booking report by stylist. Fix the checkout habit before buying another campaign tool.

Step three · keep going without adding complexity

Once step two works, take the next three jobs in this order.

Do not start all three at once. Finish one, test it on real work, then move to the next card.

Fresha no-show protection≈no-shows halved on protected bookings

Protect the long appointments with a deposit

A deposit on anything over ninety minutes filters the flaky booking at the moment it's made and funds the gap if they still vanish. The machinery is included; the awkwardness disappears once it's policy rather than judgement.

2 hours · In Speed to Lead

Fresha campaigns / client filters≈25 lapsed/mo

Win back the lapsed colour client at week ten

Past the cycle plus a fortnight, the client hasn't quit you — she's busy, or drifting. One warm message with your own booking link, from her stylist by name, recovers regulars before a competitor's promotion finds them.

Half a day · In Speed to Lead

Fresha, Timely, or Square Appointments waitlist + Make.com≈10 gaps/mo

Fill today's gap from the waitlist

A cancelled 2pm colour offered by text to the clients who asked for earlier slots fills the chair within the hour — the cascade most salons run from memory, badly, on busy days only.

1 week · We do it · $1,200

Step four · only once the first three are running

These are useful, but they are not the place to begin.

This is the first point where a real build may be worth paying for. The earlier steps need to be working before you add it.

Fresha, Timely, or Square Appointments direct booking linkevery returning booking

Use the marketplace for strangers, your link for regulars

The marketplace commission applies once, to brand-new clients it brings you — a defensible acquisition cost. The leak is regulars rebooking through the marketplace out of habit. Every reminder, campaign and Instagram bio carries your own link, and the acquisition channel stays an acquisition channel.

What this page is automating

What “AI” actually means here.

Almost everything above is a computer sending a message at a moment when nobody was going to send one. That is it. No robot and no replacement for professional judgement.

If you already use one of the products named in step one, those cards are settings inside that product. If you do not, skip the card. This page is not claiming that you already own it.

It is

A message going out because a call, date or status changed.

It is not

Something that decides what to charge or replaces professional judgement.

It is

A reminder sent from records your business already keeps.

It is not

A replacement for you, your trade, or the people who know the work.

Does this look familiar?

These are the problems the named tools above are meant to remove.

Let the reminders run on the included quota

After thirty days

Four numbers. If they have not moved, stop and do not spend another dollar.

Number one

Rebook at the basin, every client, every time

Write down the current monthly number before you switch anything on. Compare it with the same number after thirty days.

Number two

Protect the long appointments with a deposit

Count it the same way in week one and week four. Do not change the definition halfway through.

Number three

No-show protection — deposits, cancellation fees, card-on-file

Use the history inside your existing software to count how often the automation actually ran.

Number four

Hours given back

Ask the person doing the work now. They will know before a dashboard does.

Every figure on this page is a typical size, not a measurement of yours. These four are the numbers that are actually about your business.

The stack · prices checked

The tools named, priced, and judged.

Calendar, online bookings, no-show protection, reminders, campaigns, POS and inventory.

Verdict: The included protection and reminder machinery is genuinely strong — but the deposits and fees require its payment processing, which locks that layer in, and the commission maths deserve an annual review against your new-client volume. Retention must run through your own link, always.

Salon platform

Timely

Per staff member, tiered

The per-staff-priced alternative: no marketplace, no commission, payments via Stripe or Square.

Verdict: The switch candidate when your bookings are overwhelmingly regulars — fixed per-staff cost, your own payment rails, your own client data. Wrong move while the marketplace is still feeding you new clients cheaper than ads would.

Booking & POS

Square Appointments

Free tier for individuals

Booking plus payments for solo operators already in the Square ecosystem.

Verdict: Hard to beat at zero for a solo chair renter. Outgrown quickly by a team salon that needs per-stylist reporting and campaign tooling.

Acquisition

Instagram + your booking link

Free

The channel where salon work actually gets discovered — with the booking link in the bio doing the converting.

Verdict: The unglamorous rule: every post, story and reply carries your own link, never the marketplace's. The portfolio is the ad; the link decides who owns the client.

Accounting

Xero

$35/mo

The salon's books behind whatever POS takes the money.

Verdict: You almost certainly have this or your accountant does. Keep the platform POS as the source of truth for takings and reconcile, don't double-key.

Automation

Make.com

$9/mo

The waitlist gap-fill cascade and lapsed-list sequences beyond what the platform ships.

Verdict: Only for the gaps — the platform's own campaigns cover most retention jobs. If a scenario duplicates a built-in feature, delete the scenario.

Assistant

ChatGPT Team

$25/user

Front-desk questions from your own service menu and policies.

Verdict: Loaded with your menu, timings and policies it earns its keep. It never advises on colour formulation or skin reactions — that's the professional's chair, not a chat window.

Phone & messaging

OpenPhone

$19/user

A salon number with shared inbox for the salons where the phone still matters.

Verdict: Most salons should push callers to the booking link instead — buy this only if your clientele genuinely books by phone and more than one person answers it.

Do not bother

Three things not to buy yet.

Building retention on the marketplace.

The marketplace's job is bringing you strangers, and its commission prices that fairly — once. Letting regulars rebook through it hands over the front door, the habit and the client data for bookings you'd have gotten anyway. Own link, everywhere, always.

A separate SMS platform.

Your booking platform already sends reminders from an included quota and campaigns from the same client list. A dedicated SMS tool is a second bill and a second database for a job the incumbent does adequately.

Virtual try-on and AI consultation gimmicks.

A generated preview of a balayage is marketing garnish, not a booking engine — and it sets expectations a real head of hair may not honour. The rebooking rate at the basin moves revenue; the filter moves nothing.
