AI Guides / auto-repair

How auto repair workshops can use AI

Practical ways to save time, capture more enquiries, and use the tools you already have.

A workshop is the rare business where repeat revenue is built into the product — every car serviced today is due back by date or by kilometres, and rego renews annually by law. The leak is that the reminder machinery in your workshop software ships switched off, and the declined-work list from every inspection — flagged, photographed, deferred — is scheduled future revenue nobody chases.

Written for an owner who has never set up a single one of these things. Start at step one, which is free and takes an afternoon, and stop whenever you have had enough — nothing further down is needed for anything above it to work.

The whole page, in order

Week 1 · free$0

Switch on automatic rego and service reminders in your workshop software, and make sure next-service dates populate from the service interval on every job.

Software: Workshop Software or MechanicDesk

Cost note: Included if your current plan has automated reminders

Week 2$0

Put the booking link inside the reminder so the customer books from the text, and start sending vehicle-ready status updates on every job.

Software: Workshop Software Gold or MechanicDesk

Cost note: The booking link is plan-dependent

Week 3$0

Start the declined-work list: everything flagged and deferred at inspection gets a follow-up date. This is the cheapest pipeline you will ever build.

Software: Workshop Software or MechanicDesk inspection records

Cost note: Included if digital inspections are in your plan

Week 4 · measure$0

Count reminders sent versus bookings back, approvals turned around in under an hour, and declined work recovered. Only then decide whether anything needs building.

3 useful features inside software you may already use.

If you already use Workshop Software, MechanicDesk, these features are settings inside those products, not another subscription. Your current plan still needs to include the feature. If you use something else, skip that card and search your software’s help centre for the named feature before you buy anything.

Task 1

Workshop SoftwareAutomatic rego, WOF and service reminders

saves ≈8 hrs/mo

Why it matters

Reminders by SMS or email, timed off the rego due date and a next-service date the system calculates from the service interval — the repeat-revenue engine of the whole business, off until you enable it under Settings > Reminders.

What to do

Open the official guide below. In Workshop Software, find “Automatic rego, WOF and service reminders”. Follow the guide once, switch it on for one real job or customer first, and check that it did exactly what you expected before using it everywhere.

Task 2

Workshop Software (Gold)Booking link inside the reminder

saves ≈4 hrs/mo

Why it matters

The reminder that requires a phone call converts at your counter's availability; the one with a booking link converts at the customer's. The online-diary link drops into reminder templates — gold tier only, so check your plan before assuming you have it.

What to do

Open the official guide below. In Workshop Software (Gold), find “Booking link inside the reminder”. Follow the guide once, switch it on for one real job or customer first, and check that it did exactly what you expected before using it everywhere.

Task 3

MechanicDeskService, rego and booking reminders

saves ≈7 hrs/mo

Why it matters

Due and overdue vehicles surfaced automatically, reminders by email and SMS on your schedule and wording, plus day-before booking reminders — the same engine, in the AU incumbent many smaller workshops already run.

What to do

Open the official guide below. In MechanicDesk, find “Service, rego and booking reminders”. Follow the guide once, switch it on for one real job or customer first, and check that it did exactly what you expected before using it everywhere.

Open the official product page

2 hours · $0 extra if included in your current plan

If your software is not named above, the equivalent switch often still exists. Search its help centre for the exact feature name before you buy another tool.

Step two · first workflow to implement

Workshop Software or MechanicDesk reminders: Remind every vehicle by date and by rego.

Service due and rego due are two separate reminder streams from data already on the vehicle record. Switched on, they turn your customer list into a schedule; switched off, your repeat business depends on the customer's memory.

Do this in order

  1. 1. In Workshop Software, open Settings, then Reminders. In MechanicDesk, open the service and registration reminder settings.
  2. 2. Make next-service date and registration date required before each vehicle job is closed; the reminder cannot fire if either date is blank.
  3. 3. Turn on separate service-due and registration-due messages. Add your online-booking link if your current plan supports it.
  4. 4. Use a staff vehicle with a due date tomorrow. Confirm the message arrives, the date is correct, and the booking link opens your real diary.

How you know it worked

Count it in week one, then count the same thing again in week four. If the number did not move, stop spending.

In Speed to Lead. Or take the Diagnostic before hiring anyone.

Step three · keep going without adding complexity

Once step two works, take the next three jobs in this order.

Do not start all three at once. Finish one, test it on real work, then move to the next card.

Workshop Software or MechanicDesk inspections + Make.com≈20 deferred items/mo

Chase the work they said 'next time' to

The brake pads at 40%, the tyres near the markers, the coolant flush deferred — flagged at inspection, photographed, and then forgotten. A follow-up at the sensible interval, with the photo attached, converts because the evidence is theirs.

1 week · We do it · $1,600

Workshop Software or MechanicDesk digital inspections≈30 approvals/mo

Send the worn part to their phone

An approval request with photos of the actual worn component gets answered in minutes and approved at higher value than a phone call that reaches voicemail — and the hoist stops being blocked by a pending decision.

Half a day · In Speed to Lead

OpenPhone, $19/user≈25 missed/mo

Text back the call the counter missed

Workshop phones ring while both hands are inside an engine bay. A missed call gets an instant text with the booking link — the caller wanted a booking or a status, not a conversation.

2 hours · We do it · $690

Step four · only once the first three are running

These are useful, but they are not the place to begin.

This is the first point where a real build may be worth paying for. The earlier steps need to be working before you add it.

Ask for the review at handover

The moment the car drives off fixed is the moment the review request converts — one message, one link, at pickup, not in a Friday batch.

What this page is automating

What “AI” actually means here.

Almost everything above is a computer sending a message at a moment when nobody was going to send one. That is it. No robot and no replacement for professional judgement.

If you already use one of the products named in step one, those cards are settings inside that product. If you do not, skip the card. This page is not claiming that you already own it.

It is

A message going out because a call, date or status changed.

It is not

Something that decides what to charge or replaces professional judgement.

It is

A reminder sent from records your business already keeps.

It is not

A replacement for you, your trade, or the people who know the work.

Does this look familiar?

These are the problems the named tools above are meant to remove.

01

Remind every vehicle by date and by rego

02

Chase the work they said 'next time' to

03

Send the worn part to their phone

04

Text back the call the counter missed

05

Ask for the review at handover

06

Kill the 'is it ready yet' calls

After thirty days

Four numbers. If they have not moved, stop and do not spend another dollar.

Number one

Remind every vehicle by date and by rego

Write down the current monthly number before you switch anything on. Compare it with the same number after thirty days.

Number two

Chase the work they said 'next time' to

Count it the same way in week one and week four. Do not change the definition halfway through.

Number three

Automatic rego, WOF and service reminders

Use the history inside your existing software to count how often the automation actually ran.

Number four

Hours given back

Ask the person doing the work now. They will know before a dashboard does.

Every figure on this page is a typical size, not a measurement of yours. These four are the numbers that are actually about your business.

Workshop management

Workshop Software

From $99/mo (annual)

Bookings, job cards, digital inspections, reminders, inventory and invoicing for automotive workshops.

Verdict: The reminder and inspection features above are the reason to have it — but the booking link in reminders needs the gold tier, so price the tier you'd actually use, not the entry one.

Workshop management

MechanicDesk

On quote

The AU-focused alternative: diary, jobs, stock, service and rego reminders.

Verdict: Well-liked by smaller AU workshops and covers the reminder engine that matters. If you're on it, configure reminders before evaluating a switch — the migration pain exceeds the feature gap.

Phone & messaging

OpenPhone

$19/user

A workshop number with shared inbox and missed-call text-back.

Verdict: Solves the both-hands-in-the-engine-bay problem cheaply. Skip if your workshop software's two-way SMS already covers the same ground.

AI answering

Rosie

$49/mo

Answering overflow calls, capturing booking requests and vehicle details.

Verdict: Script it to capture rego, name, number and the symptom in the customer's words — and forbid it from quoting anything, including a service price, because the price depends on the vehicle.

Accounting

Xero

$35/mo

The books, and reminders for the account and fleet customers who don't pay at pickup.

Verdict: You almost certainly have this already, and it integrates with both workshop platforms above. Reminders are free and off by default.

Automation

Make.com

$9/mo

The declined-work follow-up sequence built off inspection exports.

Verdict: One good scenario — deferred item plus interval plus photo equals follow-up — beats ten fragile ones. Keep it few and boring.

Job documentation

CompanyCam

$29/mo

Photo documentation beyond what the workshop software captures.

Verdict: Probably redundant here — your workshop software's inspection photos already do the job. Only worth it if you do smash or insurance work where dispute-grade photo trails matter.

Assistant

ChatGPT Team

$25/user

Counter and workshop questions from your own documents — rates, log-book inclusions, policies.

Verdict: Loaded with your real rates and procedures it earns its keep. It never diagnoses a vehicle for a customer — see below.

Do not bother

Three things not to buy yet.

AI diagnosis in front of the customer.

A generated guess about what's wrong with a car becomes a commitment the moment a customer hears it — and the real fault is under the scan tool, not in a chat window. Diagnosis is what your techs sell; don't give away a worse version free.

Review gating or filtering tools.

Software that screens unhappy customers away from Google violates review-platform rules and, when discovered, torches the trust the reviews were meant to build. Ask everyone at handover; fix the service, not the filter.

Buying leads while your vehicle list sits unreminded.

Every car in your system is due back on a knowable date. Paid leads before the reminder engine is switched on is buying strangers while your own customers drift to the workshop up the road.
